Privacy Notice – Online Purchase

This privacy notice tells you about the information we collect from you when you purchase one or more of our products via our website. In collecting this information, we are acting as a data controller and, by law, we are required to provide you with information about us, about why and how we use your data, and about the rights you have over your data.

As part of our terms and conditions, we require that all camp bookings are made by a parent or guardian of the child coming to our camp. We call this child the ‘player’. This privacy notice addresses the booker and therefore the parent or guardian of the child coming to the camp.


Who are we?

We are not required to have a data protection officer, so any enquiries about our use of your personal data should be addressed to the contact details above.


What personal data do we collect?

Camp Bookings:

When you purchase camps from us online, we ask you for the following information:

  • Your name
  • Your email
  • Your phone numbers
  • Your relationship to the person you are making a booking for
  • Your country of residence
  • Player name
  • Player date of birth
  • Player gender
  • Player nationality
  • How you heard about us
  • Your billing address
  • Your credit card details

From this information we also generate an order number for your booking.

Airport Transfers:

When you purchase an airport transfer from us online we ask you for the following information:

  • Camp order number (if known)
  • Your name
  • Player name
  • Player date of birth
  • Camp
  • Arrival date
  • Airport terminal
  • Flight number
  • Flight time
  • Airport and city of origin / destination
  • If you’re booking a departure transfer, whether this is the final destination, and if not what the final destination is
  • Whether you have booked an unaccompanied minor service with the airline

From this information we also generate an order number for your Airport Transfer.

Visa Support Letters by Courier or Email

  • Camp order number
  • Your name
  • Player name
  • Player nationality
  • Player passport number
  • Arrival date
  • Departure date
  • Camp venue
  • Your delivery address (for Visa Support Letters by courier only)
  • Your email address (for Visa Support Letters by email only)

From this information we also generate an order number for your Visa Support Letter.


Why do we collect this information?

We will use your information to fulfil our contract with you: to provide the best possible care for your child/participant on our camp, to verify your credit card details for your purchase, to prevent fraud and to process your order. We will also send you a receipt via email and we may use your telephone number to contact you regarding your booking.

We ask for date of birth, gender and nationality information to ensure we ensure that we can accommodate the mix of genders, ages and nationalities on our camps and to ensure the mix of nationalities that we advertise on our programmes.

We use Airport Transfer information to effectively deliver our airport transfer service.

We use Visa Support Letter information to provide you with a Visa Support Letter to support your application for a visa if you require a visa to enter the UK for a camp.


What do we do with your information?

Your information is stored in Squarespace’s order processing system. If Squarespace transfers your data outside the European Union it does so using the Swiss-U.S. and EU-U.S. Privacy Shield Frameworks or another lawful data transfer mechanism that is recognized under EU Data Protection Law as providing an adequate level of protection for such data transfer. Squarespace’s Privacy Policy can be found HERE and their Data Processing Addendum can be found HERE.

Your credit card details are passed to a third-party payment processor called Stripe Payments Europe Limited which is based in Ireland. They may pass your data to Strip Inc. USA and do so only using the EU-US Privacy Shield (which requires effective safeguards for your information). Unless you create an account with us, we do not retain your credit card information. When you make a booking you will receive an email containing your booking details including your personal data. We will also receive a similar email. All emails notifications we receive automatically about your order that contain your personal information are encrypted using TLS encryption.

We download your booking data from the Squarespace’s order processing system and save it to our file server which is hosted in Lithuania (inside the EU).

For the security and protection of your personal data we have not shared here the names of our email service provider or our file server host but if you would like more information about these you can email us to request details at any time.

We also share your child's name, date of birth, arrival and departure dates and country travelling from information with GuardMe, our insurance provider. This information is required in order to provide the child with GuardMe's student medical insurance that is included in the price of our camps. We have a contractual agreement that protects the rights of your data with every data processor we use. From time to time we may need to share your data with additional third parties in order to comply with laws and government regulations. We will not share your personally identifiable data with anyone else for any reason other than this without your prior consent.

We share your airport transfer information with our transport partners. These transport partners can vary but you can request a list of current transport partners at any time by contacting us.

We do not use the information you provide to make any automated decisions that might affect you.


How long do we keep your information for?

Unless you create an account with us, we keep your order information for 7 years after purchase as this is a requirement under our insurance policy and UK tax law for some data items. Your personal information associated with the order will then be removed. The data processors named above will stored data in accordance with their own Privacy Policies so please see their individual policies for further details.

We require our transport partners to keep your child’s name and flight information for no longer than 4 months, at which point it is deleted from their system.


Your rights over your information

By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate.

You can also ask us to give you a copy of the information and to stop using your information for a period of time if you believe we are not doing so lawfully.
